Lawful bases and data protection rights

Under UK data protection law, we must have a lawful basis for collecting and using your personal information. The available lawful bases are set out in the UK GDPR. You can find further information on the Information Commissioner's Office (ICO) website.

Our lawful bases for collecting and using your data

For each of the following purposes, we rely on contract, where we need to collect or use information to enter into or carry out a contract with you:

  • Providing and improving products and services for clients
  • Operating client or customer accounts
  • Dealing with queries, complaints or claims

The rights available to you may depend on the particular lawful basis and any applicable exemptions. Where processing is based on contract, the right to object does not generally apply to that processing.

Your data protection rights

  • Access: You can ask for copies of your personal information and information about how it is used, where it comes from and who it is shared with, subject to applicable exemptions.
  • Rectification: You can ask us to correct personal information you believe is inaccurate or incomplete.
  • Erasure: You can ask us to delete your personal information in circumstances where this right applies.
  • Restriction of processing: You can ask us to limit how we use your personal information in certain circumstances.
  • Objection: You can object to certain types of processing where that right applies.
  • Data portability: Where applicable, you can ask us to transfer personal information you provided to another organisation or to you.
  • Withdrawal of consent: Where we rely on consent, you can withdraw that consent at any time.

If you make a data protection rights request, we must respond without undue delay and in any event within one month, subject to any extensions permitted by law. To make a request, email [email protected].

You can read more about your data protection rights on the ICO website.

Where we get personal information from

We obtain personal information directly from you.

How long we keep information

We retain personal information for 12 months from our last relevant interaction with you. After this period, we delete or anonymise it unless we must keep particular records for longer to meet a legal obligation or establish, exercise or defend legal claims.

This period applies to customer enquiries, account-related contact information and correspondence, including optional website enquiry attachments, subject to any earlier deletion by the form provider. For details about how the retention period applies to a particular record, please contact us using the email address above.

Who we share information with

We may share personal information with professional consultants where appropriate. We may also use service providers needed to operate our business and website, such as our email, website-hosting and enquiry-form providers, who process information on our behalf.

If our website contact form is enabled, the form provider (Basin) may process the information and files you submit. We will only share enquiry details with a specialist contact for an introduction where you have authorised us to do so.

How to complain

If you have concerns about our use of your personal information, you can make a data protection complaint to us by emailing [email protected].

If you remain unhappy with how we have used your information after raising your complaint with us, you can also complain to the Information Commissioner's Office (ICO).
